Free HR Calculators for South Africa

Four free calculators for South African HR and payroll teams: the Bradford Factor, absenteeism rate, the Rand cost of absenteeism, and BCEA sick leave entitlement. Each one runs in your browser and explains the result in plain terms.

Which HR calculator do I need?

    Your questionCalculator
How much working time are we losing to absence?Absenteeism rate
What does that absence cost in Rand?Cost of absenteeism
Is this employee's pattern of short absences unusual?Bradford Factor
How much paid sick leave does this employee have left?Sick leave

    How the calculators fit together

The absenteeism rate and the cost calculator describe the whole company or a department. Compare your rate with the published figures in our guide to South African absenteeism benchmarks, and read the cost of absenteeism in South Africa for what a full cost estimate includes.

The Bradford Factor and sick leave calculators describe one employee. A high Bradford score tells you whose record to look at. The sick leave calculator tells you whether that person is still within their paid entitlement under the BCEA. Read the sick leave guide and the Bradford Factor in South Africa before you take any formal step.

The calculators work on one set of figures at a time. To get the same measures for every employee from your leave records, see what Appsentia analyses.

    Frequently asked questions

    Are these HR calculators free?

Yes. All four calculators are free, need no sign-up and run in your browser. The figures you enter are not sent to Appsentia.

Which calculator should I use first?

Start with the absenteeism rate calculator to see how much working time you lose. Then use the cost of absenteeism calculator to put a Rand value on it. Use the Bradford Factor calculator to look at one employee's pattern, and the sick leave calculator to check their BCEA entitlement before you act.

Do the calculators follow South African law?

The sick leave calculator applies the Basic Conditions of Employment Act sick leave rules for the 36-month cycle. The Bradford Factor and absenteeism rate are management measures, not legal ones, and each page explains the South African legal points that apply. Check your sectoral determination or bargaining council agreement, which may give more than the BCEA minimum.

Can I calculate these figures for all my employees at once?

The calculators work on one set of figures at a time. Appsentia works from a payroll leave export or a PaySpace sync and calculates absenteeism rate, cost of sick leave and an attendance risk score for every employee, by department.

Run these numbers for every employee

Appsentia works from a payroll leave export or a PaySpace sync. It calculates absenteeism rate and the cost of sick leave by company, department and employee, scores each employee's attendance risk from 0 to 100, and flags Monday, Friday, public holiday and payday patterns. Free for 30 days for up to 10 employees.
