    Absenteeism Analysis for HR Consultants in South Africa

    Why would an HR consultant use absenteeism software?

    Clients ask consultants about absence in a few predictable ways. "Is our sick leave high?" "Is this employee abusing sick leave?" "Can we start an incapacity process?" "What should our absenteeism policy say?" Each question needs the client's leave records analysed the same way, every time.

    Doing that in a spreadsheet for every client takes hours, and the method drifts from one client to the next. Appsentia applies one method to every client: the same absenteeism rate, the same pattern checks against South African public holidays and paydays, and the same risk score. You spend your time on the advice, not the data cleaning.

    How does the Appsentia partner programme work?

    1. Apply for a partner account

    Register at appsentia.com/partner/register with your name, email address and, if you have one, your firm's name. Partner accounts are reviewed by our team before they can add clients, because partners handle employee data for other organisations. Until then you see a holding page with our setup guides.

    2. Add your clients

    Once approved, you see a "My Clients" list. Add a client with its company name and, optionally, a contact email. Each new client company starts on a 30-day free trial. If a client already has its own Appsentia account, contact us and we can link it to your partner account.

    3. Switch into a client and work

    Pick a client from the list to work inside its account. You get the same screens a company administrator uses: data upload, company settings, employees, the company and individual analyses, alerts, reports, the PaySpace connection and scheduled reports. A banner shows which client you are working in. Go back to the list to switch to another client.

    4. Keep each client separate

    You can only work in one client at a time. Every request is checked against an active link between your partner account and that client. If the link is removed, your access to that client stops straight away.

    How does billing work for partners?

    • Per client company. Each client is billed on its own, on the same pricing as direct customers: a monthly platform fee plus a per-employee rate by headcount bracket. Professional has a R700 monthly minimum and Enterprise a R1,000 minimum. See pricing.
    • Partner rate. When you subscribe a client from the Billing page inside its account, the partner rate is 20% below the standard monthly price.
    • Invoices go to you. Invoices for clients you manage are addressed to your firm, not to the client. How you recover the cost from your client is up to you.
    • Free trial first. Each new client starts on a 30-day trial, so you can run a first analysis before anyone pays.

    Who is the partner programme for?

    • Independent HR consultants who act as the outsourced HR function for small and medium employers and need monthly or quarterly absence reporting for each one.
    • Labour law and IR consultants who are asked to advise on incapacity, misconduct and absenteeism disputes and need a consistent absence history before they advise.
    • EAP and wellness providers who want to show a client where absence is rising, by department or site, and track whether it changes after a programme.
    • Payroll bureaus that already hold their clients' leave data and want to offer absence reporting alongside payroll.

    What can you deliver for clients?

    An absence audit

    A first-time absence audit for a client usually follows these steps:

    1. Request the data. Ask for 12 months of leave records from payroll in Excel or CSV, with department if possible. Six months is the practical minimum for pattern checks.
    2. Set up the client. Enter the client's working days, pay cycles and paydays, target absence rate (1.5% to 5%) and average daily salary.
    3. Establish the baseline. Company absenteeism rate, sick days lost, and the direct wage cost of sick leave.
    4. Find the concentration. Which departments, sites or sections are above target, and which employees carry most of the absence.
    5. Check timing. How many short sick absences fall on Mondays and Fridays, next to public holidays, on or after payday, or next to other leave.
    6. Report. Export the company analysis, department summary and dashboard reports as PDF or Excel for the client's management team.
    7. Recommend. Policy changes, manager training, return-to-work interviews, and which employees need a supportive check-in first.

    Regular reporting

    Schedule reports to be emailed daily, weekly or monthly to any address, including the client's HR manager or managing director. Choose the dashboard, company analysis, department summary or an individual employee report. Risk scores are recalculated every night, and Appsentia raises an alert when an employee moves into the high-risk band or their score jumps.

    Evidence for incapacity and misconduct cases

    The individual PDF report gives a dated absence history for one employee: every absence, which dates were flagged and why, the employee's rate against their department and the company, their risk score and its reasons, and their position in the sick leave cycle. That is the factual starting point for advice on an incapacity or misconduct process.

    It is not, on its own, proof of anything. A pattern shows timing, not intent. Before a client acts, the employer still needs to establish whether it is dealing with incapacity (ill health or injury) or misconduct, and follow a fair process under the Code of Good Practice: Dismissal (2025), which replaced Schedule 8 of the Labour Relations Act on 4 September 2025.     Policy and trigger points

    Use a client's own data to set realistic trigger points in its absenteeism policy, instead of a number copied from another company. If the client's policy uses the Bradford Factor, note that Appsentia does not calculate it. Use our free Bradford Factor calculator for individual scores.

    Your POPIA position as a consultant

    When you process a client's employee data on its behalf, the client is the responsible party and you are an operator under the Protection of Personal Information Act. An operator may process personal information only with the responsible party's knowledge or authorisation and must treat it as confidential (POPIA s20). The responsible party must have a written contract requiring the operator to keep appropriate security measures (POPIA s21). Sick leave records can also reveal health information, which is special personal information (POPIA s26).

    In practice: put a written agreement in place with each client before you upload their data, and only ask for the columns Appsentia needs.     Can I add a client that already uses Appsentia?

    Yes. Clients you create yourself are linked to your account automatically. If a company already has its own Appsentia account, contact us and we can link it to your partner account.

    What data does a client need to give me?

    A leave export from their payroll or HR system in Excel or CSV, with employee number, surname, initials, leave type, start date, end date and days, plus department if they want department views. Clients on PaySpace can supply API credentials instead, and Appsentia syncs their leave every night.
