    Absenteeism Management Software for South African Employers

    Appsentia is absenteeism management software for South African employers. It takes the leave records you already have, from an Excel or CSV payroll export or a nightly PaySpace sync, and shows your absence rate, what sick leave costs in wages, who is absent most often, and when absences cluster around weekends, public holidays and paydays.     What does absenteeism management software do?

    Most South African employers already record leave. Payroll needs it to pay people correctly and to track sick leave against the 36-month cycle in the Basic Conditions of Employment Act (BCEA s22). What payroll does not do is tell you whether absence is rising, where it is concentrated, or what it costs.

    Appsentia reads those leave records and gives you:

    • Absenteeism rate for each employee, department and the whole company: sick leave days divided by possible working days, using your working week and South African public holidays.
    • An attendance risk score from 0 to 100 for every employee, recalculated every night.
    • Pattern flags on short sick absences that fall on a Monday or Friday, next to a public holiday, on or just after payday, or next to other leave.
    • The direct wage cost of sick leave in Rand.
    • Reports in PDF and Excel for management, for department heads and for individual employee reviews.

    Appsentia shows when and how often people are absent. It does not say why. A pattern flag is a reason to have a conversation, not evidence of misconduct on its own, and every individual report says so.

    How does it work?

    1. Get your leave data in

    Export leave records from your payroll or HR system as Excel (.xlsx or .xls) or CSV and upload the file. You map your columns once (employee number, surname, initials, leave type, date from, date to, days, and optionally department). Appsentia saves the mapping, skips rows it has already imported, and creates employee records it has not seen before. The upload and data mapping guide covers the details.

    If you use PaySpace, you can connect it instead on a paid plan. You enter your PaySpace API credentials in Settings, run a first full sync, and Appsentia then syncs employees and leave every night. See the PaySpace integration page.

    2. Set up your company

    Tell Appsentia which days your people normally work, your pay cycles (monthly, fortnightly or weekly, with the payday), the absence rate you treat as your target (1.5% to 5%), and an average daily salary. These settings drive the absenteeism rate, the payday flags and the cost figures.

    3. Analysis runs automatically

    Company and individual analyses are calculated from your latest data each time you open them. Risk scores are recalculated every night. When an employee's score moves into the high band, rises by 20 points or more, or moves from low to medium, Appsentia raises an alert on the dashboard. High-risk alerts are also emailed to your company contact address.

    4. Review, report and act

    Use the company analysis grid to see each employee's absence by month against your target. Open an individual analysis before a conversation with an employee. Export PDF or Excel reports, or schedule them to be emailed daily, weekly or monthly on a paid plan.

    What problems does Appsentia solve for HR?

    "Which employees are absent most, and is it getting worse?"

    Every employee gets an attendance risk score from 0 to 100, based on sick leave in the last 90 days. It adds up four parts:

    • Frequency: sick days compared with the company average (up to 30 points).
    • Pattern: the share of absences on Mondays and Fridays, counted only once there are 3 or more absences (up to 25 points).
    • Trend: the last 30 days compared with the 30 days before (up to 25 points).
    • Department comparison: sick days compared with the department average, used only for departments with 3 or more people (up to 20 points).

    Under 34 is low, 34 to 66 is medium, and 67 or more is high. The score falls back to zero after 90 days without sick leave, so an employee who improves is not marked for good.

    "Are people booking off on Mondays, Fridays and after payday?"

    Appsentia checks every sick absence of under 5 days against the calendar. It flags absences that fall on a Monday or Friday, next to a South African public holiday, on payday or the day after, or next to annual or other leave. Paydays come from the pay cycles you set up, so weekly-paid and monthly-paid staff are checked against their own paydays.

    "What is absenteeism costing us?"

    Appsentia multiplies sick leave days by the average daily salary you enter for the company. The result is the direct wage cost of sick leave, overall and for flagged pattern absences. It does not include overtime, agency staff, lost output or management time, so treat it as a floor, not the full cost.     "Which sites, stores or departments have the problem?"

    Employees belong to departments and sub-departments, which you can use for branches, stores, plants, shifts or sections. Company figures can be broken down along these lines. You can also give managers their own logins limited to the departments they run, so a store manager sees their store and nothing else.

    "How much sick leave does this employee have left?"

    The individual report shows where the employee stands in their sick leave cycle: days used and days left out of the BCEA entitlement (30 days per 36-month cycle for a five-day week, or 1 day for every 26 days worked in the first six months, under BCEA s22(2) and s22(3)). It is an estimate from the leave data, so confirm it against payroll before you rely on it. Our guide to sick leave in South Africa explains the rules.

    "What do I take into the meeting with the employee?"

    The individual PDF report lists the employee's absences, the flagged dates and why each was flagged, their rate against the department and company, their risk score and its reasons, and recommended next steps. The first recommendation where a rate is above target is a supportive, confidential check-in.     "Does Appsentia calculate the Bradford Factor?"

    No. Appsentia uses the risk score described above, which looks at frequency, timing, trend and the department.     Appsentia's rate, risk score and pattern flags are built on sick leave. Other leave types you upload, such as annual, family responsibility or unpaid leave, are kept and used to spot sick days next to other leave.

    POPIA and data handling

    Sick leave records can reveal information about a person's health, which the Protection of Personal Information Act treats as special personal information (POPIA s26). Your organisation is the responsible party. Appsentia processes the data on your behalf. This is what the platform does to protect it:

    • Minimal data. Appsentia needs an employee number, surname, initials, leave type, dates and days, plus department if you want department views. It does not need ID numbers, diagnoses or medical certificates.
    • Separation between companies. Every request is checked against the company the user belongs to.
    • Role-based access. Company administrators see the whole company. Member users can be limited to their own departments.
    • Encrypted integration credentials. PaySpace API credentials are encrypted with AES-256-GCM before they are stored.
    • Audit log. Logins, employee changes, bulk imports, settings changes, report generation, data exports and integration syncs are logged with the user and time.
    • Passwords are stored as bcrypt hashes.

    How much does it cost?

    Pricing is a monthly platform fee plus a per-employee rate based on how many active employees you have. All prices include VAT. Annual billing is 20% less.

    What do you need to get started?

    • A leave export from payroll or your HR system in Excel or CSV, with one row per leave record. Six to twelve months of history gives the pattern checks enough to work with.
    • Columns for employee number, surname, initials, leave type, start date, end date and number of days. A department column is optional but recommended.
    • Your normal working days and your pay cycles, with paydays.
    • An average daily salary figure for the cost calculation. Finance can usually supply this.
    • For PaySpace: your PaySpace API credentials and a Professional or Enterprise plan.

    What is absenteeism management software?

    Absenteeism management software takes the leave and absence records an employer already keeps and turns them into measures HR can act on: absence rates, the cost of absence, which employees and departments are absent most, and when absences cluster. Appsentia does this for South African employers using leave exports from payroll or a PaySpace sync.

    Does Appsentia replace our time and attendance or payroll system?

    No. Appsentia does not record clock-ins, read shift rosters or biometric data, approve leave or run payroll. It analyses the leave records those systems produce. Absences only appear in Appsentia if they are recorded as leave in the data you upload or sync.

    Does Appsentia calculate the Bradford Factor?

    Can we use Appsentia if we are not on PaySpace?
